Rental Terms and Conditions

Welcome to Le Gîte du Petit Chenac. To ensure a smooth and enjoyable experience for all our guests, the following terms and conditions apply to all bookings.Please ensure you read and fully understand these rental terms and conditions. If anything is unclear, please contact us so we can explain in further detail to avoid any misunderstandings.

The accommodation is suitable for a maximum of two adults. A single cot and a high chair are available. The apartment has a no pets policy.

Bookings are subject to the follwing terms and conditions:

1. The Rental Contract

  • Parties to the Contract: A legally binding contract is formed between the lead booker and the owners Graham and Maureen Hill (INDIVISION HILL) once full payment is received and a confirmation is issued.
  • Responsibility: The lead booker is responsible for ensuring all party members accept and comply with these terms. Failure to disclose relevant information or comply with these rules may lead to the termination of the contract without a refund.
  • Guest Information: We require the names, ages, and contact details of all guests prior to arrival.
  • Occupancy: The maximum occupancy is two (2) adults. Only those listed on the booking form may occupy the property. Please ask us before inviting any daytime visitors; no extra overnight visitors are permitted.

2. Payments & Booking Confirmation

  • Payment in Full: To secure your stay at Le Gîte du Petit Chenac, the total rental amount (including any applicable taxes and deposits) is payable at the time of booking.
  • Confirmation: A legally binding contract is formed once this full payment is received and we issue your booking confirmation.
  • Security Deposit: A refundable damage deposit of €100 maybe required at this time and will be returned within 7 days of departure, subject to a satisfactory inspection.

3. Cancellations & Refunds

We understand that plans change. Our cancellation terms are as follows:

All cancellations must be submitted in writing (e-mail is preferable). Refunds are processed based on the following schedule:

  • Free Cancellation Window (The "14-Day Rule"): You will receive a full refund if you cancel your booking at least 14 full days before your arrival time (specifically before 16:00, fourteen days prior to check-in).
  • Note: A non-refundable administration and transaction fee of 1.2% to 2.5% + €0.25 applies to all refunds to cover costs incurred by the payment processor.

Partial Refund (The "7 to 14-Day Rule"): If you cancel between 7 and 14 days before your scheduled arrival (between 168 and 336 hours before 16:00 on your check-in date), a 50% cancellation fee of the total rental amount will apply.

  • Late Cancellation (Less than 7 Days): If you cancel less than 7 days before your arrival (within 168 hours of 16:00 on your check-in date), the full amount (100%) of the rental is non-refundable.
  • No Show: In the event of a no-show on the arrival date, the full amount (100%) is non-refundable.
  • Taxe de Séjour: Regardless of when you cancel, the Taxe de Séjour (Tourist Tax) is always refunded in full.

No-Show and Re-letting Policy

  • The "24-Hour" Rule: If you do not arrive at the property by 12:00 PM (midday) on the day following your scheduled arrival date, and you have not contacted us to notify us of a late arrival, the booking will be treated as a "No-Show."
  • Forfeiture: In the event of a No-Show, the contract is deemed cancelled by you, and the full payment (100%) will be retained as a cancellation fee.
  • Right to Re-let: Once a booking is classified as a No-Show, we reserve the right to immediately re-let the apartment to other guests. No refund or credit will be issued in the event that the property is successfully re-let.

Note: We strongly recommend all guests take out comprehensive travel insurance to cover unexpected cancellations.

4. Cancellations by the Owner & Exceptional Circumstances

  • If We Have to Cancel (General): In the unlikely event that we must cancel your booking due to circumstances within our control, we will notify you as soon as possible and issue a full refund of all monies paid. Our liability is strictly limited to the return of these payments.
  • Force Majeure (Outside Reasons): We cannot accept liability or pay any compensation where the cancellation or "quiet enjoyment" of your stay is prevented by "Force Majeure." This includes—but is not limited to—acts of God, explosion, flood, tempest, fire or accident, war, civil strike, or any other unforeseen event beyond our direct control.
  • Government Restrictions & Lockdowns: If our property is legally required to close due to government restrictions, or if your primary residence is placed under a legal lockdown that prevents you from traveling, you will be offered a full refund or a date transfer (subject to any seasonal price differences).
  • Property Damage: Should the property become uninhabitable before your arrival due to a technical failure or damage (e.g., a major plumbing or electrical issue), we will notify you immediately. We will refund all payments made to us, but we cannot be held responsible for any associated costs like flights or car rentals.

Because we cannot cover every eventuality beyond our control, we strongly recommend that all guests have a travel insurance policy that includes cancellation cover

5. House Rules

  • Check-in: From 4:00 PM | Check-out: By 10:00 AM.
  • Smoking: France Gites is a non-smoking complex. Smoking is strictly prohibited inside the apartment.
  • Pets: are not permitted.
  • Pool Access The pool is open April–September (weather permitting).

6. Pool Safety & Hygiene

To ensure the health and safety of all our guests, and to keep our pool sparkling, we ask that you observe the following:

  • No Glassware: For safety reasons, glass is strictly prohibited in the pool area. Please use the high-quality plastic cups provided in the gîte.
  • No Diving: The pool has a maximum depth of 1.2m. For your safety, diving and jumping are strictly forbidden.
  • Hygiene: Please use the poolside shower to wash off sunscreens, oils, and makeup before entering the water. This helps us maintain the water quality for everyone.
  • Footwear on the Grass: For your comfort and safety, please do not walk barefoot across the grass between the apartment and the pool. We recommend wearing flip-flops or outdoor shoes.
  • Children under 16: Must be supervised by an adult at all times.

7. Security & Personal Liability

While our area is very peaceful, we ask that you take the same care with security as you would at home.

  • The Gîte: Please ensure the apartment doors are locked at night and whenever you are away from the property.
  • Vehicles: All vehicles are parked at the owner’s risk. Please ensure your car is locked at night and the main gate is kept closed when you are parked or out for the day.
  • Bicycles: We are happy to provide a storage area for your bicycles. Please ensure they are secured individually within the store. Please note that we cannot be held liable for any loss or damage to bicycles or equipment kept in the storage area.
  • General Security: Guests are responsible for their own personal security and the security of their belongings throughout their stay.

8. Cleaning & Departure

We take great pride in our gîte. We personally clean and sanitize the property after every stay—and again just before a new arrival—to ensure everything is sparkling for you. To help us maintain these high standards, we kindly ask for your cooperation with the following:

  • Standard of Care: We expect the property to be left in a clean and tidy condition.
  • Belongings: Please ensure all personal belongings are removed upon departure.
  • Rubbish & Recycling: All household waste should be placed in the appropriate bins provided outside the property.
  • Kitchen: We ask that all dishes and utensils are washed and put away, and the fridge is emptied.
  • Cleaning Surcharge: While a standard "changeover" clean is included in your booking, we reserve the right to levy an additional cleaning charge (starting at €50) if the property is left in an unacceptable state or requires professional deep cleaning beyond our usual turnaround.
